HOW DO WE KNOW OUR DATA IS SECURE?
Security is of the utmost importance to us. Rest assured that DOT keeps the data in an architecture that is safe and sound. It is a solution comprised of databases and a variety of technology components in The Cloud. Only the people who are part of each community have access to the organization's data. And... as stated in the contract, your data is never to be sold or used for anything other than your project. Additionally, if someone leaves your community, we are able to promptly remove the listing and revoke access to the app.
WHAT IS REQUIRED FOR THE DATA FILE TO CREATE THE DIRECTORY?
There are two data formats we accept for your Directory on Tap (DOT) School Directory App. Good news! It's all information you already have in your community database. It's a simple and quick query out of your database to provide the simple data file we need to produce your directory. We work with your school registrar and other office staff to make sure the data is correct. We walk you through each step and provide support as needed.
HOW DO WE JUSTIFY THE COST OR HOW CAN WE OFFSET THE COST?
Easy. The app is priceless. Directory on Tap (DOT) School Info App promotes active volunteerism and quick, efficient communications within the community.
Here are some creative ideas:
1. Charge your families a nominal fee for the product. Example: $2 per family added in as a mandatory PTO/PTA fee at the beginning of school year for the school directory app and school info app.
2. Sell advertising. Depending on the size of your community, a few ads will offset or pay for the whole thing. You might even yield a profit! This is a simple fundraiser, and community partners receive terrific exposure for their businesses.
3. Have you historically been printing a directory? The directory book is likely out of date the minute it comes off the printing press, right? The app is always up to date and doesn't cost much more (sometimes less) than the professional printing of a directory. And that is priceless. If you see a typo or a wrong address on the app, it can be corrected immediately.
IS IT TRUE THAT THE APP CAN BE ROLLED OUT IN ONE WEEK?
You bet! We dedicate a time period to you (5 business days) so your directory app is up and running within one week. Each organization is given a checklist and must complete their simple list of tasks. It's a team effort between DOT professionals and the organization to have a smooth roll-out process. But... we do all the hard work. There's very little time needed from you!
DOES DOT HANDLE EXCEPTIONS LIKE GUARDIANS OR DUAL HOUSEHOLDS IN SCHOOL COMMUNITIES?
Yes. Because we are the school directory app experts, we understand the data exceptions that are in every school community. We have built-in processes to recognize when the data has exceptions. For instance, dual households are listed out to show all applicable information but in two different households.
HOW DOES DOT HANDLE THE CASE OF PEOPLE WHO DO NOT WISH TO BE LISTED?
We offer a comprehensive OPT OUT process for each school (or advise you on how to do this to save a few dollars). We respect and honor the privacy requests of those who don't want to be listed in the school directory app. We allow them to opt out entirely or partially (email, home address, and/or phone number). Some schools prefer to manage this piece on their own, and that is perfectly fine. We meet your needs where they are.
